Job Description-Overview :

Tufts University School of Dental Medicine offers one of the most forward-looking educational environments in dental medicine in the country. The Practice Administrator, and other members of the practice administrative and billing teams, along with the Finance and Administration team, supports the financial management and administration of the dental school. This position reports directly to the Practice Manager and works closely with the Billing Leads and Compliance Officer to ensure effective coordination between front and back end billing and operational procedures that support the School's compliance policies. The Practice Administrator supports the Craniofacial Pain Center (TMD) and the Oral Medicine Clinic (OM).  

The Craniofacial Pain Center (TMD) specializes in the diagnosis and treatment of complex painful disorders of the head and neck region. The mission of our Center is to provide a comprehensive diagnostic evaluation, a concise and coordinated management plan in a holistic, integrated biomedical patient-focused manner.

The Oral Medicine Clinic (OM) is dedicated to improving the quality of life in high risk and medically compromised populations by engaging in basic and translational research to promote general health through good oral health practices.

  The Practice Administrator oversees the overall management and direction of the TDA front desk. This position's direct reports are the Office Administrators (Patient Services Liaisons) and reports directly to the Practice Manager. The individual provides leadership, planning, financial management, staff supervision, patient management and operational oversight, including:   *Oversees the day-to-day supervision of all aspects of front desk operations within the practice: ensuring patient admissions is operating efficiently; monitoring appointment management, patient account review, collection of patient demographics, and their interactions with patients and providers
*Works to continuously improve the clinic business operations and internal controls to the patient experience within the clinics. Ensuring efficiency of office procedures including overseeing the proper routing of phone calls, messages, and patient requests. Ensuring that voice mail messages are checked on a regular basis throughout clinic operating hours.
*Acts as a liaison between the providers, residents and the clinical staff. Ensures that all faculty and staff are adhering to office guidelines and compliance protocols set forth by the clinic and School.
*Works collaboratively with billing team to ensure effective coordination of front and back end billing processes.
*Ensures accurate input of patient demographics, proper charting and documentation to enable an efficient claim submission by billing team.
*Responsible for enforcing policies and guidelines in accordance with compliance regulations.
*Responsible for staying current on all medical and dental coding regulations and communicating changes appropriately to ensure the clinics policies are always in compliance.
*Acts as the liaison between the clinic providers/residents/staff, billing and compliance teams. Responsible for enforcing the *School and University's position on compliance protocols. Works with all parties to ensure compliance policies and procedures are being adhered to. Communicates with all parties regarding concerns or changes.

Job Description - Requirements :

Basic Requirements:
BA/BS with 5+ years experience in a medical/dental setting and must have supervisory experience. Expert knowledge of Microsoft Office, specifically Excel and Word; demonstrated knowledge of medical/dental patient care systems. Must obtain Certified Dental Coder (CDC) ceritification within 90-days of hire. Must have a comprehensive understanding of CPT billing/coding, medical/dental insurances, medical/dental billing/healthcare compliance and a working knowledge of ICD-9, CPT and E&M coding. Knowledge of medical/dental patient health care systems, preferably axiUm. Individual will be versed in appropriate and compliant medical charting and documentation. Ability to lift up to 25lbs with or without accommodation.

Preferred Qualifications:
Certified Professional Coder with exceptional computer skills and attention to detail. Outstanding organizational, interpersonal, communications and time management skills. Ability to exercise discretion, interact effectively with people at all levels and from diverse backgrounds. Maintain professional outlook, handle multiple projects simultaneously. Ability to work with frequent interruptions and to multi-task. Experience with Dentrix or other dental patient care system.

Special Work Schedule Requirements: Practice hours are 8:00am - 6:00 pm with occasional overtime.
